Who we are

What we collect
When you contact us or ask about a project — through our website, a Facebook or Instagram form, a phone call, a text or an email — we collect the details you give us, such as your name, phone number, email address, city or address, and information about your project (type of project, timing, budget, photos). If you call us, we also keep a record of the call.
How we use it
We use your information only to:
- respond to your enquiry and contact you about your project;
- book and hold design consultations and site visits;
- prepare designs, quotes and agreements, and deliver our services;
- keep records we are required to keep for business and tax purposes.
How we contact you
If you ask us to contact you (for example by submitting a form and ticking the consent box), we may contact you by phone, text message and email about your project. Some of these calls and messages are made by an automated AI voice assistant or are AI-assisted. Calls may be recorded and transcribed so we can follow up accurately and improve our service. You can withdraw consent at any time: reply STOP to any text, tell the caller, use the unsubscribe link in any email, or email chris@hvlandscaping.com.
Who handles your information for us
We use service providers to run our business, and they process your information only on our behalf:
- Meta (Facebook / Instagram), when you submit a form on those platforms;
- our customer-relationship management (CRM) system, which stores enquiries and sends texts and emails;
- our AI calling and messaging provider and their telephony and AI vendors;
- our scheduling tool (Calendly) when you book a consultation;
- our accounting and payment providers.
Some of these providers may store information outside Canada (for example in the United States), where it may be accessible to authorities under local law. We do not sell your personal information.
Cookies and website analytics
Our website may use cookies and similar tools (for example Google Analytics and the Meta Pixel) to understand how visitors use the site and to measure our advertising. You can block cookies in your browser settings.
How long we keep it
We keep enquiry information for as long as needed to respond to you and for up to 24 months after our last contact if you don’t become a client. Client project records are kept as long as required for business, warranty and tax purposes.
Your choices and rights
You may ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to being contacted, by emailing chris@hvlandscaping.com. We will respond within 30 days. If you are not satisfied, you may contact the Office of the Privacy Commissioner of Canada (priv.gc.ca).
Safeguards
We protect your information with reasonable administrative, technical and physical safeguards and limit access to people who need it to serve you.
Changes
We may update this policy; the “Last updated” date above will change when we do.
